ADP in 2026: scale and compliance depth, at a negotiated price
One in six US workers paid through one platform - but opaque pricing and modular invoices mean the total cost only becomes clear after negotiation.
ADP is seventy-seven years old, NASDAQ-listed since 1961, and still the payroll vendor that every other payroll vendor positions itself against. In fiscal 2025 it moved more than $3.3 trillion in client funds and processed 78 million year-end tax statements. That scale translates into something specific for a controller: filing coverage in every US jurisdiction, a written commitment that ADP pays fines and penalties caused by its own tax errors, and a product ladder - RUN for small teams, Workforce Now for mid-market, Lyric HCM for enterprise - that a company can stay on through multiple headcount doublings without a forced migration to a competitor.

The fit question is genuinely structural. Multi-state and global employers from roughly 50 to 10,000-plus staff that price compliance risk above software cost are the natural buyers. Workforce Now is the workhorse for mid-market controllers standardizing payroll, HR and benefits on one auditable system. GlobalView covers payroll in more than 40 countries, extended to 140 via Celergo. Teams below ten employees that want published pricing and self-serve setup will find Gusto-class tools a better fit - ADP's pricing is quote-driven and modular, and almost nothing is published at list. Buyers who need API-first openness or want to route external AI agents into payroll data without partner agreements will also find the walls real.
Pricing is where due diligence pays off most. ADP publishes no durable mid-market list prices. Buyer-reported figures (from PayrollDetective, Outsail, Costbench and peer benchmarks, 2026) put Workforce Now at roughly $18 to $30 per employee per month for a 100-person company - call it $22,000 to $36,000 annually before add-ons. Layer in annual platform fees commonly $1,500 to $5,000, implementation of $2,000 to $10,000-plus, per-payroll-run charges on RUN (weekly pay runs roughly double processing cost versus semi-monthly), plus W-2 and 1099 delivery fees, amendment fees and renewal uplifts. Competing bids from Paychex or Rippling reliably move ADP's number; ask for the full fee schedule in writing and negotiate renewal price caps before signing.
On the AI side, ADP shipped something concrete on January 28, 2026: persona-based Assist agents for employees, managers, HR and payroll practitioners. Announced capabilities include automatically auditing payroll for variances and suggesting remediations, proactively flagging missing or incomplete state and local tax IDs and guiding registration, answering policy questions grounded in the client's own handbook, and building reports from natural language - all under human oversight. Rollout is phased through calendar 2026, and a Marketplace destination for partner-built AI agents followed on March 2, 2026. That is a meaningful shipped roadmap, not a vaporware slide. The caveat is that ADP's AI story stays inside ADP's walls; teams expecting to wire these agents into an external orchestration layer will need a partner agreement.
Implementation timing deserves a dedicated planning conversation. RUN activates in days. Workforce Now typically runs 4 to 14 weeks buyer-reported, with benefits carrier feeds and GL mapping as the consistent long poles. Lyric HCM and GlobalView are multi-month programs with parallel runs and dedicated ADP project teams. Two rules from finance teams that have done it: cut over on a quarter boundary to avoid year-to-date balancing and amended returns, and have state and local tax account numbers ready before kickoff. RUN to Workforce Now and Workforce Now to Lyric are new implementations with fresh data conversion - not in-place upgrades - so treat any product-line move as a full implementation project.

QUESTIONS THIS ANSWERS
What does ADP actually cost for a 100-person company?
Plan around $18 to $30 per employee per month for Workforce Now (buyer-reported), so roughly $22,000 to $36,000 a year before add-ons, plus annual platform fees commonly $1,500 to $5,000 and implementation of $2,000 to $10,000-plus. ADP publishes no mid-market list prices; quotes are negotiated, and competing bids from Paychex or Rippling reliably move the number. Ask for the full fee schedule in writing: per-run charges, W-2 and 1099 fees, amendment fees and renewal caps.
What are ADP's contract terms, and can I leave?
RUN generally bills monthly with promotional periods (3 months free is standard), while Workforce Now and Lyric typically run annual or multi-year agreements with auto-renewal. Retention was 92.1% in fiscal 2025, partly because leaving mid-year means re-registering tax accounts and rebuilding year-to-date balances elsewhere. If you sign, negotiate renewal price caps and a data-export commitment up front, and calendar the renewal notice window.
How long does an ADP implementation really take?
RUN activates in days. Workforce Now is typically 4 to 14 weeks buyer-reported depending on modules, with benefits carrier feeds and GL mapping the usual long poles. Lyric HCM and GlobalView are multi-month programs with parallel runs. Two rules from finance teams who have done it: cut over on a quarter boundary to avoid amended filings, and have your state and local tax account numbers ready before kickoff.
