ADP vs Paychex: what actually separates them for a controller
Both are opaque on pricing and slow on API access - but the right pick turns on GL depth, headcount, and whether you need real countries or just US states.
ADP and Paychex each list the other as a primary cross-shopped alternative, and for good reason: both are NASDAQ-listed payroll incumbents, both are quote-only on pricing, and both offload federal, state, and local tax filing. The surface similarity is real. The differences that matter to a controller are in scale ceiling, GL integration architecture, and where each product actually starts to cost more than it is worth.

ADP's case rests on raw coverage and compliance backstop. It pays roughly one in six US workers, processed more than 78 million year-end tax statements, and moved more than $3.3 trillion in client funds in fiscal 2025. Its product ladder - RUN for small business, Workforce Now for mid-market, Lyric HCM above that, GlobalView for multinationals covering 40-plus countries extended to 140 via Celergo - means a controller at a growing company will not hit a ceiling and need to re-implement. ADP also carries a written commitment to pay fines and penalties caused by its own tax filing errors, which is a real thing to put in a vendor-risk assessment. The trade-off is structural opacity: almost nothing is published, Workforce Now implementation runs 4 to 14 weeks buyer-reported, and invoices are modular enough that per-run charges, W-2 delivery fees, and amendment fees can surprise a team that only negotiated the per-employee monthly number.
Paychex's strongest argument is its GL integration story. The Paychex Flex General Ledger Service posts dimension-mapped journal entries in near real time to QuickBooks Online, Xero, Sage Intacct, and Oracle NetSuite on every released payroll - that is a materially better out-of-box integration than most competitors offer. The catch: it is bundled only at the Pro tier and above; on the Essentials plan it is at best a paid add-on. Paychex also relaunched its accountant channel (AccountantHQ/Partner Pro) in June 2025 with a multi-client dashboard and 24/7/365 US-based support, which makes it the more natural fit for CPA firms running payroll for a book of small-business clients. What Paychex cannot do is global: international payroll runs through a Globalization Partners partnership, so cross-border tax and compliance live with that partner, not inside Flex. And BBB complaints cite early-termination fees in the range of roughly $1,500 to $3,000 plus continued billing for about 2 to 3 months after cancellation - figures from complaints, not official policy, but worth reading the termination clause before signing.
On AI and automation readiness, ADP is further along in published capability. ADP Assist agents - persona-based agents for payroll practitioners, HR, managers, and employees - were announced January 28, 2026, with concrete finance-relevant functions: automated payroll variance auditing, proactive flagging of missing state and local tax IDs, and natural-language report building, all rolling out phased through calendar 2026. Paychex has a documented REST API at developer.paychex.com, but production keys require partner approval and there is no open sandbox; a third-party StackOne connector was listed as coming soon as of mid-2026. For a team that wants an external AI agent touching payroll data today, neither is frictionless, but ADP is at least publishing a concrete rollout schedule. The decision rule: if your primary need is multi-state US payroll with deep GL posting into Intacct or NetSuite and you are running a CPA firm or SMB book, Paychex Pro tier earns a close look. If you need a single vendor from a 10-person US startup through a multinational with entities in 40-plus countries, ADP's product ladder is the only one here that does not require a platform change.
HOW TO DECIDE
| Get the full fee schedule in writing from both vendors: per-run charges, W-2 fees, and amendment fees are where quotes diverge from invoices. | |
| Paychex GL integration is bundled only at Pro tier and above - confirm your tier before assuming automated journal entries are included. | |
| ADP's global coverage reaches 140 countries via Celergo; Paychex international runs through a Globalization Partners partnership outside Flex. |

QUESTIONS THIS ANSWERS
What does ADP actually cost for a 100-person company?
Plan around $18 to $30 per employee per month for Workforce Now (buyer-reported), so roughly $22,000 to $36,000 a year before add-ons, plus annual platform fees commonly $1,500 to $5,000 and implementation of $2,000 to $10,000-plus. ADP publishes no mid-market list prices; quotes are negotiated, and competing bids from Paychex or Rippling reliably move the number. Ask for the full fee schedule in writing: per-run charges, W-2 and 1099 fees, amendment fees and renewal caps.
How much does Paychex actually cost, and is the quote the real number?
There is no published price list, so every dollar figure is a custom quote. Third-party 2026 estimates put Flex Essentials around $39/mo plus ~$5 per employee, Flex Select around $47/mo plus ~$3 per employee, and Flex Pro around $95/mo plus ~$3 per employee, but these are not authoritative. The bigger caveat: undisclosed add-ons (W-2 processing, integrations, time tracking) frequently push the real total above the quote, per reviewers. Get an itemized quote and the full fee schedule in writing before signing, and assume your effective per-employee cost is higher than the headline number.
