ApprovalMax review 2026: a control layer for Xero, QBO and NetSuite

 

Unlimited users on every plan is the headline number, but a pricing model change and two features still in beta deserve a closer look before you commit.

ApprovalMax is a control layer, not an accounting system. Bills, purchase orders, credit notes, journals, sales invoices and batch payments move through approval matrices you design, and only documents that clear those matrices post back to Xero, QuickBooks Online or NetSuite. Approvers work in the web app, mobile app, email or Slack without holding an accounting licence, and every plan ships with unlimited users, an audit report per approved document, a read-only Auditor role and alerts for anything that slips through the ledger directly. The Audit Friendly review of ApprovalMax scores it 72 out of 100.

You are buying a control layer that sits between your team and Xero, QuickBooks Online or NetSuite. Bills, purchase orders, credit notes, journals, sales invoices and batch payments run through
Xero/QBO SMBs and accounting firms

The product fits two audiences well. UK, Australian and New Zealand SMBs on Xero that need multi-step bill and PO approvals without buying Xero seats for every budget holder are the clearest match. Accounting firms and outsourced finance teams running approval controls across many client organisations are the second. It does not connect to Sage Intacct, Business Central, MYOB or SAP, and US teams looking for check printing, virtual cards or 1099 filing handled inside the AP tool will not find those here. Buyers whose auditors require a SOC 1 or SOC 2 Type II report should note that the help centre points to ISO 27001:2022 only, with no SOC 2 Type II listed on the trust centre as of September 2025.

US list prices, checked 27 September 2026, run $594 (Standard), $950 (Advanced) and $1,331 (Premium) per organisation per year billed annually, or $59.40, $95 and $133.10 billed monthly; shown as monthly equivalents those are $49.50, $79.17 and $110.92. PO matching and budget checks require Advanced or above; API access requires Premium. Volume discounts of 15 percent apply from 5 to 24 organisations and 20 percent from 25 to 49; at 50 or more, pricing is by sales quote. Not-for-profits get 20 percent off. NetSuite is quote-only. Xero and QuickBooks Online connect by OAuth in minutes and a 14-day trial needs no card, so setup for those two platforms is largely self-serve. NetSuite requires a system administrator to enable token-based authentication and SOAP web services, install the SuiteApp and generate tokens.

Three watchouts are worth flagging before sign-off. First, CEO Konstantin Bredyuk's blog post of 3 June 2026 confirmed that all current customers move to tiered usage-based pricing at renewal from 3 August 2026, with 30 days' notice of the change; anyone mid-contract should check what their renewal date triggers. Second, Pay Wallets reached general availability for UK Xero organisations in January 2026, but the US QuickBooks Online version was still in beta as of the 28 July 2026 release notes, so US teams should confirm beta status before building a payment run workflow around it. Third, on the AI side: Capture OCR reads bills in 40-plus languages and since April 2026 matches uploaded bills to approved POs by reference, vendor and currency; Approval Agent, which compares each bill against a supplier's approved history and flags concerns without approving or rejecting anything, was in beta for selected organisations as of July 2026 and is not yet general. The contract auto-renews unless the account owner gives written notice at least 14 days before the cycle ends, and fees are not refunded - standard SaaS terms, but worth noting given the pricing transition.

What does ApprovalMax cost for a US business with three Xero or QuickBooks Online entities and about 200 bills a month?

On the US list checked 27 September 2026, Advanced, which adds PO matching and budget checks, is $950 per organisation a year billed yearly, so three organisations cost $2,850. Capture OCR for 200 documents a month adds $30.80 a month, billed monthly, for about $3,220 a year in total (Audit Friendly estimate from published prices). Standard would be $1,782 for three organisations plus Capture; Premium, which adds the API and phone support, $3,993 plus Capture. Two caveats. What are the contract terms, and how does data come out at exit?

There is no separate signed contract: signing up accepts the standard terms, which include the Data Processing Agreement and are governed by the law of England and Wales. Plans bill monthly or yearly, renew automatically unless the account owner gives written notice at least 14 days before the cycle ends, and fees are not refunded (terms updated 2 June 2026). How long does implementation take, and who does it?

Customers do it themselves. Xero and QuickBooks Online connect by OAuth from organisation settings and the 14-day trial needs no card, so most of the work is designing approval matrices and inviting approvers. For NetSuite, an administrator enables token-based authentication and SOAP web services, installs the ApprovalMax SuiteApp and generates tokens; ApprovalMax says NetSuite teams are running in a few days.
