Ramp spend management: what controllers need to know in 2026
The free tier is real, but the economics have shifted - cashback now ranges from 0 to 1.5 percent, and bill pay fees went live June 2026.
Ramp earns an 85/100 from Audit Friendly's review, which describes it as one system for corporate cards, reimbursements, vendor bills, purchase orders, travel and operating cash. The pitch is consolidation: replace three or four separate tools with a single platform that syncs to the ERP. For US startups and mid-market companies on NetSuite or Sage Intacct, that consolidation argument is credible. For everyone else - SAP shops, UK or EU entities that need a mature local program, or finance teams that budget around a fixed cashback rate - the fit is weaker.

The free tier covers unlimited cards, expenses, travel booking, basic AP with OCR, and QuickBooks Online or Xero sync. Plus, at $15 per user per month on a monthly plan (20 percent off annually), adds NetSuite, Sage Intacct and Business Central sync, multi-entity, an audit log, and AP agent line-item coding and approval recommendations. There is also a platform fee based on team size that Ramp does not publish, per the pricing page checked 26 September 2026. Automated fraud checks from the AP agents come with Free. Ramp earns from card interchange, payment fees and Plus seats, per Vendr, so the free tier is real - but it is also where the relationship starts.
Two numbers have moved recently and are worth flagging before any demo. First, cashback: Ramp launched with a flat 1.5 percent, moved to a 1 to 1.5 percent range in May 2024, and told NerdWallet in June 2026 that the rate now ranges from 0 to 1.5 percent, set per customer. There is no published formula. Second, bill pay fees: Ramp's pricing overview lists $0.59 per standard ACH and $1.99 per standard check effective 1 June 2026, with a three-month grace period for existing users, per the help center. Neither number appears prominently in the product marketing.
On agent readiness, Ramp's own claims are aggressive but unaudited. Agents for Controllers (July 2025) are said to automate 85 percent of expense reviews at 99 percent accuracy. AP agents (7 October 2025) claim 85 percent of accounting fields coded correctly on first pass and more than $1 million in fraudulent invoices flagged in 90 days for early users. Procurement agents launched 29 April 2026. Ramp also hosts its own MCP server, which means Claude and similar assistants can interact with spend data directly. These are vendor claims with no independent audit - the Audit Friendly review of Ramp flags them as such. Controllers evaluating the agent layer should ask for a scoped pilot with their own data rather than relying on headline numbers.

QUESTIONS THIS ANSWERS
What does Ramp cost for a 100-person company?
Ramp Free costs $0 and covers cards, expenses, travel, basic AP and QuickBooks Online or Xero sync. Most mid-market buyers need Plus for NetSuite, Sage Intacct, multi-entity and AP agent line-item coding and approval recommendations; automated fraud checks from the AP agents come with Free. Plus lists at $15 per user a month on a monthly plan, 20 percent off with annual billing, plus a platform fee based on team size that Ramp does not publish (checked 26 September 2026). At list price, 100 billable users on Plus comes to $18,000 a year on monthly billing or about $14,400 a year on annual...
Is Ramp a bank, and who holds the deposits?
No. Ramp's site says: "Ramp Business Corporation is a financial technology company and is not a bank. Checking Account deposit services provided by First Internet Bank of Indiana, Member FDIC." (Ramp business banking page, checked 11 October 2026). The checking page adds: "When you open a Ramp Checking Account, you are opening a deposit account at First Internet Bank." First Internet Bank of Indiana holds Ramp Checking deposits and can place them at other FDIC-insured banks through IntraFi's ICS service. Ramp's help center says First Internet Bank acts as custodian for those placements, BNY...
How long does implementation take, and who does it?
Ramp claims full implementation in 30 days or less, with the ERP connection taking minutes, but the claim appears only on the plain-text version of ramp.com served to automated clients, the same page that misstates Bill Pay fees (vendor claim, checked 26 September 2026). On Free and Plus the finance team does the setup with Ramp support: bank link, ERP connection, policy upload, approval chains and card issuance. Enterprise buyers get Ramp-led scoping, integration setup and validation testing, and employee training and change management, per the pricing page. Plan extra time for NetSuite...
